About the Job

Planview is hiring a Contracts Administrator (Legal Ops Coordinator) to provide operational and administrative support to its Legal department. The role involves managing the end-to-end contracting process, legal operations systems, and compliance activities.

The position works closely with Legal, Finance, Procurement, and external vendors to support efficient contract lifecycle management and legal operations. This is a full-time role supporting five attorneys across multiple geographies.

Eligibility

  • At least 5 years of relevant professional business, deal desk, paralegal, and/or contract management experience. SaaS experience is a plus.
  • Bachelor’s degree from an accredited college or university or equivalent combination of skills and experience.
  • Strong Microsoft Office skills, including Word, Outlook, Excel, and PowerPoint.
  • Experience using CLM and CRM systems.
  • Salesforce experience is required.
  • Experience with legal workflow and AI tools is highly desirable.
  • Ability to work in a fast-paced environment and manage multiple projects and deadlines.
  • Ability to multitask and prioritize effectively.
  • Ability to work independently and collaboratively across departments and functions.
  • Strong attention to detail when reviewing and redlining contracts, order forms, and NDA terms and conditions.
  • Ability to communicate contract management positions and policies clearly and professionally.
  • Strong writing and communication skills.
  • Understanding of basic contracting principles, legal vocabulary, and concepts.
  • Willingness to learn and expand knowledge.

Responsibilities

Legal Operations & Workflow Management

  • Manage and support legal intake and workflow for internal and external inquiries.
  • Respond to inquiries in a timely manner, including intake, assignment, routing, and escalation within the Legal department.
  • Assign work through Atom, the legal workflow system, and update queue status.
  • Manage the Legal inbox, including initial triage, categorization, and routing of requests.
  • Conduct initial risk analysis in Chamelio, including running initial contract reviews, flagging issues for attorney review, and tracking AI-identified risks.
  • Enforce contracting processes, structures, guidelines, and usage of the contract management tool with internal teams.

Contract Management & Execution

  • Support and manage the contracting process in the contract management database in coordination with Legal, Finance, Procurement, and external vendors.
  • Manage and maintain contract management and legal operations databases.
  • Upload executed documents accurately to appropriate files.
  • Complete data entries in contract management databases.
  • Update agreement records in Salesforce while ensuring data accuracy and completeness.
  • Manage contract data structure, metadata, and reporting, including contract scoring, tagging, and risk tracking.
  • Validate contracts for signature by verifying required fields, signatory authority, and contract completeness.
  • Process electronic signatures using e-signature tools and manage the contract execution process end-to-end.
  • Track contracts through execution workflows and follow up on pending signatures.
  • Confirm execution completion and update systems.
  • Process customer termination notices, update contract status, and route matters to appropriate team members.

Contract Review & Risk Assessment

  • Review and negotiate NDAs.
  • Manage legal review of RFP responses.
  • Respond to standard compliance queries for RFPs.
  • Coordinate with the insurance team regarding Certificates of Insurance (COI) and insurance queries for RFPs.

Compliance & Corporate Support

  • Assist with annual compliance projects under the supervision of the CLO/Privacy Lead.
  • Support ISO certification audits through evidence collection and organisation.
  • Assist with policy rollout projects.
  • Coordinate compliance documentation and filings.
  • Collect, organise, and maintain KYC documentation and records.
  • Coordinate with customers regarding KYC requests.
  • Prepare data for CSC filing and entity maintenance activities.
  • Coordinate with registered agents and CSC providers.
  • Track filing deadlines and confirmations.
  • Prepare assignment notices when contracts are assigned between legal entities.
  • Coordinate customer notifications regarding entity assignments.
  • Track assignment completion and update systems.

Vendor & Financial Administration

  • Create iValua Purchase Requisitions (PRs) for Legal services, including outside counsel and software.
  • Process legal vendor invoices for payment.
  • Track legal spend against budgets.
  • Coordinate with Finance on invoice approvals.

Document Formatting & Template Management

  • Format new policies and templates.
  • Apply appropriate formatting, numbering, and styles to legal documents.
  • Ensure templates meet company branding and formatting standards.
  • Finalize document formatting for distribution.
  • Assist the Legal team with other projects as assigned.
