About the Job

insightsoftware is seeking a Legal Assistant to provide operational and administrative support to the Legal Department’s Governance, Risk, Compliance & Disputes (GRCD) practice. The role supports a broad range of legal functions, including governance, risk management, compliance, litigation, insurance, intellectual property, and legal operations.

The successful candidate will work closely with internal stakeholders, cross-functional teams, and external counsel while managing multiple legal workstreams in a fast-paced environment.

Eligibility

  • Associate’s degree in Paralegal Studies, Legal Studies, or a related field, or equivalent professional experience.
  • At least 2 years of paralegal or legal operations experience in a law firm or corporate legal department.
  • Experience supporting a broad legal function across multiple practice areas within a corporate legal department.
  • Ability to work independently, manage multiple priorities, and meet deadlines effectively.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • High attention to detail.
  • Experience managing relationships with outside counsel and vendors.
  • Proficiency with legal billing and matter management systems, eDiscovery platforms, and Microsoft Office applications.
  • Ability to handle confidential information with discretion.

Responsibilities

  • Coordinate internal meetings, team reviews, and recurring team activities.
  • Manage calendars, deadlines, projects, and action items.
  • Maintain physical and electronic legal records and oversee document retention processes.
  • Assist with preparing presentations, communications, and status reports.
  • Provide administrative support, including travel coordination, expense processing, and logistics management.
  • Review, process, and track invoices from external counsel and vendors.
  • Assist with legal budget tracking, accruals, and spend reporting.
  • Maintain intellectual property records, including patents, trademarks, and copyrights.
  • Coordinate with external intellectual property counsel regarding filings, registrations, and related matters.
  • Support intellectual property due diligence for mergers and acquisitions, licensing arrangements, and other corporate transactions.
  • Assist with corporate entity management and maintenance of governance records.
  • Support board and committee processes, including preparation and organisation of resolutions, minutes, and related documentation.
  • Assist with insurance renewals and risk management initiatives.
  • Maintain compliance calendars, documentation libraries, and regulatory tracking systems.
  • Support compliance processes relating to data protection, third-party due diligence, and sanctions or export compliance.
  • Assist with dispute and litigation management, including matter intake, document organisation, legal holds, and coordination with external counsel.
  • Monitor bankruptcy proceedings and support the preparation and filing of bankruptcy-related documents.

Preferred Qualifications

  • Exposure to export compliance, sanctions, data privacy, or regulatory compliance matters.
  • Experience with workflow and project management tools such as Streamline, Jira, or Confluence.
  • Paralegal certificate from an ABA-approved programme.
  • Experience with contract lifecycle management (CLM) systems.
  • Familiarity with governance, risk, and compliance (GRC) platforms.
  • Bankruptcy and creditor rights experience.
  • Experience within the SaaS or technology sector.
